  Ember Program Child Protection Policy

Our commitment

Effective date: October 28, 2026

Every child who comes to Ember deserves to feel safe, respected, and seen. The children are the reason the program exists, and protecting them comes before everything else we do, including fundraising, storytelling, and promotion.

The Ember Program is an initiative of Your Back Office IT Solutions OPC. This policy applies to everyone who works with or around the children:

  • Staff of Ember and Your Back Office IT Solutions OPC
  • Educators and session facilitators
  • Volunteers
  • Sponsors, donors, and visitors
  • Photographers, content creators, and partners

This policy follows Philippine law, including the Special Protection of Children Against Abuse, Exploitation and Discrimination Act (Republic Act No. 7610), the Anti-Online Sexual Abuse or Exploitation of Children Act (Republic Act No. 11930), and the Data Privacy Act of 2012 (Republic Act No. 10173).

Code of conduct

Everyone covered by this policy agrees to the following.

Always

  • Treat every child with respect and fairness, without favoritism.
  • Stay in open, visible areas when with children. At least two adults should be present during sessions.
  • Use encouragement and positive discipline. Recognize effort; never shame.
  • Release children only to their parent, guardian, or an adult the parent has named.
  • Respect a child's right to say no to being photographed, even when a parent has consented.
  • Report any concern about a child's safety right away (see Reporting a concern).

Never

  • Hit, slap, pinch, shout at, humiliate, or threaten a child.
  • Be alone with a child out of sight of other adults.
  • Contact a child privately by phone, text, or social media, or ask for a child's personal contact details.
  • Give gifts, money, or rewards to a specific child outside the program's reward system.
  • Take a child anywhere outside the Activity Center without written permission from the parent or guardian.
  • Use language, jokes, or behavior that is sexual, degrading, or inappropriate around children.
  • Take or keep photos of children on personal devices or accounts.

Photos, videos, and stories

We photograph children only with the signed consent of a parent or guardian. Photos are used only for transparency and donor engagement, as the consent form states.

Approved platforms. Children's photos appear only on:

  • The Ember Program website
  • Ember Program's official Facebook, LinkedIn, YouTube, and TikTok accounts
  • The founder's TikTok account
  • One designated page on the Your Back Office IT Solutions website
  • Printed program materials such as flyers, brochures, and infographics

No other use, reproduction, or distribution is allowed.

How we protect each child's identity

  • First names only, or no names. Never a full name, home address, school, or daily routine.
  • No photos that show a child in a state of distress, undress, or embarrassment.
  • No location tags that point to a child's home.
  • Edited or AI-altered images of a child only with a parent's specific consent for that use.
  • Photos are taken on program devices only and stored in Ember's official accounts.

Withdrawing consent. A parent or guardian may revoke consent in writing at any time. We will remove the child's photos from our platforms within 14 days. Printed materials already distributed cannot be recalled, but they will not be reprinted.

Sponsors and visitors

Sponsors fuel the whole program, not a single child. To keep every child safe:

  • Visits to sessions or events are arranged with Ember in advance, and visitors are accompanied by staff at all times.
  • Sponsors and visitors do not exchange contact details with children or families.
  • Gifts go through the program so every child is recognized fairly.
  • Visitors may not photograph or record children. Ember shares approved photos with sponsors instead.
  • Sponsors may not post Ember photos of children on their own accounts.

Reporting a concern

Anyone, including parents, children, sponsors, and members of the public, can raise a concern. You do not need proof. Raising a concern in good faith will never be held against you.

  1. If a child is in immediate danger, call the police at 911 first.
  2. Tell Ember's Child Protection Officer as soon as possible: Jeanette Mae Custodio, (+63) 955 753 5675, support@emberprogram.odoo.com .
  3. Write down what you saw or heard, in the child's own words where possible, with the date and time. Do not investigate or question the child further.
  4. Ember will act within 24 hours. This includes keeping the child safe, informing the parent or guardian unless that would put the child at risk, and suspending the person involved from contact with children while the concern is reviewed.
  5. Ember will refer the matter to the authorities where the law requires it: the Barangay Council for the Protection of Children (BCPC) of Tartaro, the San Miguel Municipal Social Welfare and Development Office, or the PNP Women and Children Protection Desk.

All reports are handled confidentially and shared only with those who need to know to protect the child.

Breaches, review, and contact

Anyone who breaks this policy may be removed from the program, have their sponsorship ended, or be reported to the authorities, depending on what happened.

We review this policy every year, and after any serious incident.
